What does EuroExpo Desk do?
EuroExpo Desk lists dates, venues and official organiser sources for European trade fairs. Exhibitors submit requests, and we review them manually and introduce them to approved service providers. Exhibitor and provider agree quotes and contracts directly; the platform takes no part.
Do I have to pay to use EuroExpo Desk?
No. The platform is in a free testing phase. Finding exhibitions, submitting requests, applying as a service provider and personal introductions carry no platform fee. Service providers quote for their own services and you pay them directly. The website takes no payments. If anyone asks you to pay on behalf of EuroExpo Desk, don't pay, and tell us.
How do I register and sign in?
You sign in with a code sent to your email, so there is no password. On the My account page, enter your email, select "Send sign-in code" and enter the 8-digit code from the email on the same page. The first time, you also add your name and country and choose the exhibitor or service provider role.
Can one account be both an exhibitor and a service provider?
Yes. You can tick both roles when you register and change them later in My account. A provider profile is shown only after it passes review. The exhibitor role needs no manual approval.
Exhibitors: submitting and following requests
What happens after I submit a request?
Your request goes into manual review and is not published automatically. After review, we show the request text, without your contact details, to signed-in service providers. When an approved provider expresses interest, we contact you using the details you gave and introduce you to each other. The confirmation page shows a request reference. Keep it and include it when you email us.
What do "Awaiting review", "Following up" and "Closed" mean?
These are the statuses in My requests. Awaiting review: we have not reviewed the request yet, or we are checking it. Following up: it passed review and we are contacting providers or following up on an introduction. Closed: the introduction for this request has ended. Status changes don't send an email. We contact you personally when we need more details or have news.
How do I change or withdraw a request?
You can't do this on the website yet. Email us with your request reference and tell us what to change, or that you want to withdraw the request.
Can service providers see my contact details?
No. Providers see only the request text published after review. Your contact details and internal notes are visible only to you and the operator.
Why can't I see a service provider's contact details?
Provider contact details are not shown to exhibitors. The operator makes the introduction: when a provider expresses interest, we contact both sides. Once signed in, you can see the company, country, service categories and description of approved providers.
What if no service provider has been introduced yet?
The platform can't guarantee an introduction for every request. If you have been waiting a while, email us with your request reference to ask about progress. Details such as the exhibition, dates, stand size or number of people help providers decide.
Who handles quotes, contracts and payment?
You and the service provider, directly. Providers quote based on scope, venue and dates. The platform gives no indicative prices, takes no part in contracts and takes no payments. Submitting a request, a provider expressing interest and our introduction are not orders.
Can EuroExpo Desk book stand space for me?
No. You rent space and register directly with the organiser. Stand builders design and build the stand. Electricity, internet, rigging and other official technical services are also ordered from the organiser.
Service providers: applying and your listing
What does the provider review check, and how long does it take?
We check three things manually: that the company exists (website, business register or equivalent public information), that the service categories match your description, and that you provide the service locally in Europe. There is no fixed turnaround time, and we contact you if we need more information. Applying is free.
My application came back with changes requested. What now?
Sign in to the service provider workspace. When the status reads "Changes requested · Edit your profile and resubmit", the reason is under "Review feedback". Update your profile as described and resubmit. If the reason is unclear or you think we got it wrong, email us with your company name.
What is the difference between approved, verified and service record?
They are three separate statuses. Approved: we checked your company and service details and the profile can be shown. It is not a certification or a guarantee of service quality. Verified: added after we separately check identity or qualification documents. Service record: counts only services we confirm as completed, with one review per service.
I've been approved. Why are there no requests yet?
The platform does not guarantee a number of requests or any business. Reviewed requests appear in the service provider workspace, where you can view them and express interest. The operator makes the introduction personally.
How do I withdraw my listing?
Withdraw your display consent in the service provider workspace. Exhibitors no longer see your profile, and your account stays.
Sign-in and error messages
What if my sign-in code doesn't arrive, or I see "Sign-in was not completed"?
Check your spam and promotions folders and make sure the address is spelled correctly. Then select "Send sign-in code" again and use only the 8-digit code from the newest email. If the page shows a human verification check, complete it before sending. Script-blocking browser extensions can stop it from loading, so try another browser. Company mail servers sometimes block verification emails: ask your IT team to allow them, or use another address (that will be a separate account). If it still fails, email us the exact message on the screen. Don't send us the code.
What does "Submitting a request needs an exhibitor role" mean?
Your account only has the service provider role. Open My account, select "Edit profile / roles", tick "I am an exhibitor", save, and go back to the request page.
What if I see "The result could not be confirmed"?
The page did not receive a confirmation from the server, usually because the connection dropped. Your entries are kept, so retry the same request. If one account submits identical content within 24 hours, only one request is kept. Check My requests to see whether it arrived.
What if I see "Please wait before submitting again"?
This appears when there are many submissions in a short time. Your entries have been kept. Wait a little and submit again. If you see it without having submitted often, email us.
Exhibition information
Where do exhibition dates and venues come from?
Every exhibition page links to the organiser's official page and shows the date we last checked it. Dates, venues and exhibitor rules are those last published by the organiser. New editions are verified separately; we don't extrapolate dates from previous years.
The trade fair I'm looking for isn't listed. What can I do?
The catalogue is growing and does not yet cover every European trade fair. You can still submit a request and write the trade fair name and city in it. You can also email us the name and official website.
How do I report wrong exhibition information?
Email us the exhibition page link, what is wrong and, if you have one, a link to the official source. We check the official source before updating. When announcements conflict, we hold changes until it is clear.
How are official venue services different from platform providers?
Electricity, internet, rigging and, at most venues, on-site unloading and forklifts are handled exclusively by the organiser or its appointed contractors. Platform providers cannot replace them. Platform providers offer exhibition stand building, exhibition interpreting, exhibition transport, exhibition catering and exhibition reception. Check the official exhibitor services page of each edition.
Privacy and data
Who can see my information?
Public visitors see exhibition information only. Reviewed request text, without contact details, is shown to signed-in providers. The company, country, service categories and description of providers are shown to signed-in exhibitors. Contact details on either side are visible only to the person and the operator.
How do I delete my data or account?
Email us from the address you registered with and ask us to delete your account and data. We treat a request from your registered address as coming from you, so you don't need to send ID documents. A deleted account can't be restored. To see or correct your data, write to us the same way. There is no self-service deletion on the website yet.
How do I unsubscribe from trade fair emails?
Use the unsubscribe link at the bottom of any trade fair email. You don't need to write to us. Signing in, submitting a request or applying as a provider does not subscribe you.
Does the website use ad tracking or analytics?
Not at the moment. There are no advertising trackers or third-party visitor analytics. The hosting provider may process necessary access logs. Official links open independent websites with their own data practices.
